The Travellers Club

The following Terms & Conditions apply to all travel arrangements made through The Travellers Club. By requesting a quotation, making a booking, or confirming travel arrangements, you agree to the following conditions.

1. Role of The Travellers Club

The Travellers Club acts as a travel consultant and booking agent for a range of travel service providers including airlines, tour operators, cruise companies, hotels, transfer providers and other travel suppliers.

All travel services are provided by independent third-party suppliers. The Travellers Club does not own, control, or operate these services and therefore cannot be held liable for the acts, omissions, errors, delays, or performance of those suppliers.

2. Supplier Terms & Conditions

All travel arrangements are subject to the individual terms and conditions of the relevant travel suppliers.

These supplier terms may include, but are not limited to:

• cancellation policies
• amendment fees
• payment schedules
• refund conditions
• baggage policies
• travel restrictions

By confirming a booking, you acknowledge that you have read and accepted the terms and conditions of the relevant travel providers.

3. Pricing & Quotes

All quotations are subject to availability and may change without notice until a deposit or full payment has been received.

Prices may vary due to:

• changes in airline pricing
• supplier adjustments
• exchange rate fluctuations
• taxes and government charges
• fuel surcharges

Once travel arrangements are confirmed and paid, pricing will be subject to the terms of the relevant suppliers.

4. Deposits & Payments

A deposit is required to secure most travel bookings. Deposit amounts and payment schedules are determined by the relevant travel suppliers.

Travel arrangements are not considered confirmed until your deposit has been received and confirmation has been issued by The Travellers Club.

Final payment deadlines will be advised at the time of booking.

Failure to make payments by the required due date may result in cancellation of your travel arrangements and forfeiture of deposits.

Due to the dynamic nature of the travel industry, pricing and availability may change until bookings are confirmed.

In the unlikely event that prices or availability change between consultation and booking confirmation, we will contact you immediately to discuss the updated options before proceeding.

If the revised arrangements are not acceptable, your deposit will be refunded in full. This does not apply to a change of mind after travel arrangements have been confirmed.

5. Cancellations & Amendments

Cancellation and amendment conditions vary depending on the travel provider and fare type booked.

In most cases:

• cancellation fees apply
• deposits may be non-refundable
• supplier penalties may increase closer to departure

Any amendments requested after booking may incur supplier change fees and possible fare or price differences.

6. Travel Insurance

Travel insurance is strongly recommended for all travellers and may be mandatory for certain tours, cruises or travel destinations.

Travel insurance should ideally be purchased at the time of booking to provide coverage for unexpected events including cancellation, illness, travel disruption, or lost baggage.

The Travellers Club can assist in arranging travel insurance or provide recommendations.

7. Passports, Visas & Travel Documentation

Travellers are responsible for ensuring they hold valid travel documentation, including:

• passports
• visas
• health documentation
• vaccination requirements

Most countries require passports to be valid for at least six months beyond the date of return travel.

The Travellers Club cannot be held responsible for denied boarding or entry due to incorrect documentation.

8. Changes to Travel Arrangements

Travel providers may alter schedules, routes, accommodation, or services due to operational requirements.

While every effort will be made to minimise disruption, The Travellers Club cannot guarantee that travel arrangements will remain unchanged.

9. Force Majeure

Neither The Travellers Club nor travel suppliers shall be liable for failure to perform obligations where such failure is due to events beyond reasonable control.

This includes, but is not limited to:

• natural disasters
• pandemics or public health emergencies
• government travel restrictions
• airline operational issues
• strikes or industrial action
• political unrest
• acts of terrorism

In such circumstances, refunds, credits or changes will be subject to the policies of the relevant travel suppliers.

10. Limitation of Liability

The Travellers Club acts solely as a travel intermediary and shall not be liable for injury, loss, damage, delay, or inconvenience arising from travel services provided by third-party suppliers.

Any claims relating to the performance of travel services must be directed to the relevant supplier.

11. Privacy

Personal information collected during the travel planning process will be used solely for the purpose of arranging and managing your travel bookings.

Your information may be shared with relevant travel suppliers where necessary to complete your travel arrangements.

The Travellers Club does not sell or distribute personal data to unrelated third parties.

12. Airline Schedule Changes

Airlines may change or cancel flight schedules at any time. These changes are outside the control of The Travellers Club.

Where schedule changes occur, we will notify travellers as soon as possible and assist in arranging suitable alternatives where available. Any changes will be subject to the policies and conditions of the relevant airline.

By requesting a quotation, confirming travel arrangements, or making payment of a deposit, you acknowledge that you have read, understood and accepted these Terms & Conditions.
